| Centralized management of 48 stores at the head office in real-time

Sotetsu Station Retail Co. Ltd. operates 33 convenience stores “Family Mart” in Tokyo and Kanagawa Prefecture. Stores in the Sotetsu Line station premises that mainly run in Kanagawa Prefecture, and operates vending machines. The head office collectively manages attendance and labour costs at 48 stores.

What were the issues before you introduced KING OF TIME?

There is also an attendance management system used by the franchise (FC) headquarters of convenience stores, but since it is managed by the FC headquarters side, the head office side cannot manage working hours and labour costs.

The store side printed out the time card of each employee on paper, and the head office had to manually enter it. Naturally, the effort required for this was tremendous, and there were many mistakes in salary payment due to typos.

 

Has the problem been resolved?

The effort of printing, transporting, and manually inputting paper time cards has been greatly reduced. In addition, it has become possible to manage working hours, schedules and labour costs at each store in real-time.

 

It seems that the person in charge of management has changed several times after using it for a long time. How did you take over?
There are many direct and verbal hand-overs. Since all departments use KING OF TIME, most employees can use the basic operations. Beyond the regular scope, I can always contact the support centre as needed.

How many people are in charge of attendance management at “KING OF TIME”? How are you using it again?
It is used at our convenience stores and station shops.

Each store is managed by the store manager and block manager, and the general affairs department of the head office is managed by one person.

 

Could you briefly explain the flow of monthly attendance management?
The store manager/block manager checks the time card registered by the employee with the FeliCa card and submits the extracted CSV file to the general affairs department on the closing date once a month.

The general affairs department collects CSV files collected from each store and submits them to a shared service company within the same Sotetsu Group that outsources payroll calculation.

 

How long does it take from the deadline to submit to the shared service company?
Due to payroll requirements, it must be submitted within 2-3 days from the closing date. For this reason, we sometimes talk to the store manager on the phone in real-time, perform the closing work, and submit it immediately.

 

What kind of system is mainly linked with?
CSV is linked to the payroll system used by shared service companies. In addition, we plan to link with the labour-management system, which is scheduled to be newly introduced from April, in CSV format.

 

 

|Help work between stores can also be managed

It is used in many stores, but are there any points that have been devised in operation?
Due to the shortage of labour and the cooperation between stores, employees will work across multiple stores, so stamp registration is not limited to the store to which he belongs, but also nearby. We have created a system where you can register at any of our stores and go to other stores for help at any time.

In addition, since KING OF TIME is used to transfer personnel expenses that occur during help work, appropriate personnel expenses can be managed for each store. 🙂

 

How is the stamping done?
A FeliCa card reading terminal (PaSoRi) is connected to the PC via USB, and each employee holds the FeliCa card over it.

 

Who is setting up the card reading terminal at each store? Also, are there any points that make you confused about the operation?
The person in charge at the head office is mainly in charge. At first, I was confused, but there was nothing that is difficult to master quickly with KING OF TIME.

 

Is the introduction of “KING OF TIME” smoothly for new employees?
Since everyone now has some kind of FeliCa card such as a transportation IC, the company can start attendance registration without any other loan.

There are foreign employees who speak various languages ​​in the store, but I can use them without hesitation.

 

What are you doing about work style reform?
Retailers, especially store managers and employees, tend to work long hours, so we are working to improve while checking overtime.

 

From the administrator’s point of view, are there any good points about using KING OF TIME?
The operation side is easy to understand, and the setting is not difficult, so it was good that it was easy to introduce to new stores. Also, since the data is also output as a CSV file, I feel that it is easy to link with other systems.
