How to build successful remote teams?

With the COVID-19 situation seemingly with no end, it is likely that most policies is going to stay around or even on the switch to move back. Many companies are finally learning that managing flow of communication among teams that are working remotely is not that easy.

 

Today, we are going to share how in Huubap that we have been managing synchrony and communications with one another. Our company is truly international with employees from over 5 countries working within the same timeframe.

 

ROUTINE

In Huubap, we always greet in the morning. This not just remind others of our presence (whether we are working on that day) and also serve as a way to inform of our planned meeting so that they may avoid messaging during the period.

Of course! This is also to keep the morale and camaraderie up high. Humans are a social animal and we definitely want to inculcate positive communications early in the day.

 

We state our location. Some days we are in the office and some days we work remotely. This is much more important right now as the company are now required to keep track of the time and date of the employees who are working in the office.

Communicate in bursts. What do we mean by this? We choose a specific time of the day to get into a huddle session and update if we have anything to share with one another.

This works so well because we can push it back to that time for anything non-urgent and minimize the risk of disrupting other people’s work. Further, it enhances group productivity when you can obtain everyone’s opinion in a group.

How can managers create this environment that fosters the activity? Pick a time that most people would be open for meetings! That would mean to avoid time around lunch hours.

Remember to use group calendars as well! Our company uses Google Calendar and has been working great so far.

 

Keep track of progression.

We keep track of our tasks and plans in a simple forward-looking chart. This is when we get to set mini-goals and set out to achieve them. They do not have to be complex but there needs to be progression 🙂

 

Successful groups have predictable patterns

A team must come to a conclusion on recognizing that communication during remote is even more important than at the office. Develop awareness and encourage behaviors that will lead to better outcomes and you will see that tasks can be iterated more quickly and effectively.
